Introduction

Indo-American Chamber of Commerce (IACC), established in 1968, is the apex bi-lateral Chamber synergizing India-US economic engagement. IACC has PAN India presence with around 1500+ members, representing cross section of U.S. and Indian industries.

The objective of 2nd INDIA-USA TRADE CONNECT (IUSTC) was to promote bilateral trade, investment and technology transfer, facilitate business collaborations, joint ventures, marketing tie-ups and strategic alliances.

Requirement

The event aims to bring together 500+ attendees with sector-focused round-table including a mini-expo of around 50 exhibitors displaying their products.

IACC was looking to engage with a technology partner for their end-to-end event management including marketing, GIF creations, website development, online ticketing, delegate check-in, session management, headcount tally for meals and a detailed post event analytics of entire activities.

Challenge

The organizing committee was initially concerned about managing online marketing efforts for their upcoming event, given the limited time frame of just one month. In addition to creating a website with a sleek and modern design, the team also required assistance with crafting eye-catching graphics and GIFs to entice attendees. Furthermore, the committee required a fast, flexible and secure online ticketing platform that allowed attendees to easily purchase tickets in advance.

And with on-site management posing a significant challenge, the committee needed expert assistance from streamlined check-ins to badge collection, and access control during various activities and sessions.

Chkdin were approached by the committee to deliver a powerful solution which can streamline their overall event management processes and to provide a smoother experience for all delegates.

Solutions

To simplify event management and enhance attendee experience, ChkdIn powered the event using our innovative QR code-based event digitization solution. Upon registering for the event online, each attendee will receive a personalized QR code, which serves as a digital identifier for hassle-free on-site interactions. The solution not only streamlines the registration process, but also enables seamless execution of entire on-ground activities using the same QR code system.

Execution

The implementation of technology on the ground encompassed multiple interactions during the event:

  1. Online registration: Registrants received a unique QR code for quick, contactless check-in.
  2. On-site check-in: Attendees were able to scan their QR codes at check-in counters, which triggered the automatic printing of unique ID cards/badges from self-service kiosks.
  3. Tailgating Access Management: Scanners were strategically positioned to scan and track the number of meals consumed by delegates, ensuring accurate billing with vendors. This measure also effectively curbed tailgating and prevented the misuse of facilities provided.
Summary

he event witnessed a participation of 500 delegates and 50 exhibitors and sponsors over the course of one day. The attendees efficiently managed without encountering any technical errors or delays - ensuring a smooth experience for all. In addition, a comprehensive footprint analytics of the event activities were captured and delivered to the organizing committee for data-driven reporting and ROI tracking.
